CAMS
Overview: Content and Management Software (CAMS) is an all-in-one application that allows organizations to scan, organize, and manage documents. Designed with scalability in mind, CAMS can be deployed as an entry level solution on a single-user workstation or used as a remote capture application integrating with Datacap or OnBase software. Developed by CES, CAMS helps organizations cut operating costs, comply with records retention policies, and manage paper intensive business processes.
Single, Intuitive Interface
The ribbon bar atop the application provides an easy to use interface for working with your documents. With the simple click of a button, users can not only scan and index documents, but also retrieve and manage content stored in the system. Built on a solid foundation, CAMS stores document index information in a Microsoft SQL Server Compact Edition database and the images are stored on a local or network drive.
Filing Structure
CAMS classifies content at three levels. Documents first belong to high-level Groups (such as Human Resources or Accounts Payable). Each Group is further defined by specific Document Categories and each Category is also uniquely defined by Keywords (indexes) specific to a document. This classification method allows for quick and easy retrieval of documents stored in the system. The classification hierarchy can easily be customized by adding or modifying document Groups, Categories, and Keywords to coincide with your organization’s filing structure.
Document Capture
CAMS provides organizations with two options for capturing content. Direct scanning into the CAMS application allows users to drive a desktop scanner’s ADF with one simple click, scanning batches of hardcopy documents. The second capture method, file import, enables CAMS to import image files from sources such as MDFs, faxes, and images already on a network drive.
Indexing and Storing Content
Whether scanning or manually filing your documents, it is crucial that they are easy to
retrieve for future reference. CAMS provides users with drop down lists to select
Document Groups and Categories as well as pre-defined keywords for indexing purposes.
• Ensures accuracy of document
classification and indexing
• Provides “heads-up” indexing for
increased user productivity
• Stores documents via industry
standard TIFF and JPG formats
Document Management
Retrieve documents in seconds with the powerful searching functionality of CAMS. Content can be accessed by entering Group, Category, and/or Keyword values for the documents to be retrieved. Users can search using a combination of keywords and even specify if the value is equal to, greater than, or less than the information entered. Search results are displayed in a list, allowing the user to choose the document to view. Once you retrieve the document, CAMS provides the ability to manage these documents by creating a user note, modifying keyword data, or printing a hardcopy. Be efficient and save time with immediate access to your documents.
Remote Capture
CAMS advanced functionality provides organizations with the ability to upload specific documents and batches to an OnBase ECM or Datacap Taskmaster application. This provides remote users with local access to their documents while supplying corporate organizations with the images and data they need to immediately process business. This not only reduces faxing and mailing hardcopy documents, but also increases processing efficiency and turn around time for all parties involved.
